Custom Battery Pack RFQ Checklist: What OEM Buyers Should Send
A useful custom battery pack RFQ includes voltage, capacity, dimensions, discharge current, charging requirements and protection-board functions. Add your sample quantity, production forecast and target date so suppliers can quote against the same requirements.
For an OEM team developing a handheld device, GPS tracker, security product or lighting system, the first inquiry does not need to be a finished battery design. It should explain what is confirmed, what is flexible and what still needs engineering input.
This checklist helps you prepare that request for quotation (RFQ), clarify the commercial terms and compare proposals before ordering samples.
What to Include in Your Custom Battery Pack RFQ
Put the essential information in one document. Mark unknown values as “to be confirmed” rather than guessing.
| Requirement | Information to send |
|---|---|
| Voltage and capacity | Required voltage and capacity, or the series/parallel configuration if already defined |
| Dimensions and structure | Available space, dimensional drawing, pack shape, enclosure and mounting requirements |
| Discharge current | Maximum continuous current, peak current and peak duration if known |
| Charging | Charging method, charging current and details of the intended charger |
| Protection board or BMS | Required protection functions, monitoring features and communication requirements |
| Application | Device type, usage pattern, target runtime and operating environment |
| Order quantities | Evaluation samples, first production order and expected repeat demand |
| Schedule and destination | Target delivery date, delivery location and required testing or documentation |
Separate must-have requirements from preferences. If the battery compartment is fixed, include its drawing. If its shape can change, say so. If you are replacing an existing pack, provide its specification and identify the problem you want to solve.
Give the brief a date or revision number. Ask each supplier to reference that version so later changes do not become mixed with the original quotation.

Clarify MOQ, Sample Charges and Development Costs
A request for samples and a production order should be listed separately. Include both quantities, even if your production forecast is still an estimate.
At Koxin, the following terms are confirmed against the proposed configuration:
| Item | What to expect | What to confirm in the quotation |
|---|---|---|
| Minimum order quantity | Sampling and small-batch trial production are supported. MOQ depends on capacity and model; smaller-capacity, simpler packs generally allow more flexibility. | MOQ for the exact configuration and the quantity used for pricing |
| Sample charges | Samples carry a fee. After a production order is placed, it can be refunded or credited under agreed terms. | Eligible order value or quantity, refund or credit amount, and how it will be applied |
| Development fees | Fees are evaluated after project scope confirmation, considering structural design, protection-board requirements and custom enclosures. | Included development work and any conditions for fee reduction or waiver at an agreed order volume |
| Testing and certification | Costs depend on the target market, applicable requirements and the testing or certification organization's quotation. Koxin can assist with coordination and test-sample preparation. | Required evaluation, sample quantities, scope, charges and schedule |
Tell us if your project requires documentation relating to UN 38.3, UL, IEC 62133 or market requirements such as CE or FCC. Applicability and evaluation scope need to be confirmed for the specific battery or end product. Listing a requirement in an RFQ does not establish that the proposed configuration already meets it.
Ask for Separate Sample and Production Schedules
Koxin's indicative sample preparation time is as little as 7 working days, depending on structural complexity and material availability. Production generally takes 15–25 days, depending on order quantity and material availability.
Use these as planning estimates and request a project-specific schedule. Ask the supplier to define:
- When the lead-time count starts.
- Whether the quoted production period means calendar or working days.
- Which design or sample approvals are needed before production.
- Whether testing, certification and shipping time are included or separate.
Sample completion and arrival at your facility are different milestones. State your required arrival date clearly if it affects an equipment trial or product launch.

Please confirm the proposed configuration, MOQ, sample fee and refund conditions, applicable development and testing charges, and sample and production schedules. Please identify any assumptions, substitutions or exclusions.
Before You Accept a Battery Pack Quote
Use this final check to compare proposals on the same basis:
- Configuration: Is the quoted pack identified by a specification or drawing revision?
- Quantity: Are sample and production quantities listed separately?
- Sample fees: Are refund or credit conditions documented?
- Total cost: Are development, tooling, testing and shipping charges identified as included, excluded or not applicable?
- Schedule: Is the lead-time starting point defined, with shipping and approval steps accounted for?
- Open requirements: Are unresolved specifications and proposed substitutions listed for confirmation?
If an item is unclear, request a revised quotation before placing the order. A written response gives your engineering and purchasing teams the same information to review.
Frequently Asked Questions
Can I request a quote without a complete battery specification?
Yes. Explain the application and mark unknown parameters as “to be confirmed.” Share available drawings, existing battery information and device requirements so the initial discussion has a clear starting point.
Is the sample fee automatically refunded after a production order?
The fee can be refunded or credited under agreed terms, which may depend on order value or quantity. Confirm the conditions in your quotation before ordering samples.
Are all samples completed within seven working days?
No. Seven working days is the fastest indicated sample preparation timeframe, subject to complexity and material availability. Request the schedule for your configuration.
What if I only need a BMS or protection board?
State that scope in your inquiry. Include the chemistry, series count, current and required functions. The Koxin BMS selection guide provides a checklist for model and document requests.
